01About these terms
These Business Terms of Service ("Business Terms") apply when a company uses a business account on transportvibe.com, including the broker workspace at /user. They sit on top of our Terms of Use, which still apply to everything you do on the Platform. If the two conflict on a business account matter, these Business Terms win.
Some products have their own extra terms: Lead Purchase Terms, Sponsored Placement Terms and API Terms. When you use one of those products, its terms apply too.
Who's agreeing
If you create or use a business account, you're agreeing for the company named on the account. You confirm you have the authority to bind that company. From here on, "you" means that company and everyone who uses its account.
Claiming your company profile, using the Free plan and replying to reviews never cost anything.

03Your business account
Claiming and verification
To claim a profile you must work for the company, use a work email and pass our identity, authority and insurance checks. We may ask for FMCSA records, a certificate of insurance or other documents, and we may refuse or reverse a claim that we can't verify.
Keeping it accurate
You're responsible for everything your company profile says: services, coverage, locations, phone numbers, emails and photos. Keep it true and current. If your FMCSA authority, insurance or bond lapses, tell us within 5 business days.
Team and seats
- The Owner invites teammates and assigns roles (Owner, Manager or Agent).
- Each Seat is for one person. Don't share logins.
- You're responsible for what every person on your account does.
Security
Keep your password and API keys safe. If you think someone got into your account, email security@transportvibe.com right away.
04Plans
Each plan includes the features shown in your Workspace on the day you buy it. The table is a summary; the Billing page shows the live version.

Extra seats cost $8.90 per seat per month on Standard and Pro. Enterprise is agreed with our sales team in a written order.
Changes to plans
We may add, change or remove features. If a change takes away something you pay for, we'll tell you at least 30 days before, and you can cancel before it takes effect.
05Onboarding fee
Your company pays a one-time onboarding fee of $699 at its first purchase: the first plan upgrade, lead order or sponsored placement payment, whichever comes first. It covers setting up payments, lead delivery and your Workspace.
- It's charged once per company, never at claim and never twice.
- Your first checkout shows it as its own line next to the item you're buying.
- The onboarding fee is non-refundable once your first purchase is complete and your account is set up.
If you close your account and come back later, or open a second account for the same company, the onboarding fee isn't charged again.
06Billing & payments
How you pay
We accept credit and debit cards only: Visa, Mastercard, American Express and Discover. Card payments are processed by Stripe. We never store your full card number.
Renewals
- Plans and extra seats renew automatically every month on your billing date until you cancel.
- We charge your default card at the start of each billing period.
- Leads and one-time items are charged when you check out.
Taxes
Prices are in US dollars and don't include sales tax. We add any tax that applies before you pay.
Failed payments
If a charge fails, we'll email you and try again over 7 days. If it still fails, your account moves to the Free plan. Paid features, including leads, stop until you pay.
Price changes
We'll tell you at least 30 days before a price change on your plan. The new price applies from your next billing date after that.
Receipts
Every payment appears under Billing > Payment history in your Workspace, with a downloadable receipt.
07Upgrades, downgrades & cancelling
- Upgrades take effect right away. You pay the price difference for the rest of your current billing period.
- Downgrades take effect at the end of your current billing period.
- Cancelling is done from Billing at any time. You keep your plan until the end of the period you've paid for, then move to Free.
- We don't give refunds for partial months unless the law requires it.
What happens on Free
Free accounts don't receive or see leads. Export your leads from the CRM before your paid period ends if you want to keep them. Extra locations and Seats above the Free limit are hidden, not deleted, and come back if you upgrade.
08Leads
Standard, Pro and Enterprise accounts receive leads in the CRM. Buying leads is also covered by our Lead Purchase Terms.
- You choose how many leads to order, up to 50 a day. You can't pick individual leads.
- We don't guarantee how many leads you'll get, or that any lead becomes a booking.
- Use a shipper's details only to quote and serve that shipment. Don't sell or share them.
- Follow every law on contacting people, including the TCPA and CAN-SPAM. Stop contacting anyone who asks you to.
09Sponsored placements
You can request sponsored placements in your Workspace. Our sales team contacts you to agree scope and price, Transportvibe approves the placement, and you then pay in the Workspace. The approved order and our Sponsored Placement Terms set the details, including any 12-month commitment.
Every sponsored placement is labelled as sponsored. We may decline or pause any placement that doesn't meet our eligibility or content rules.
10What money can't buy
No plan, fee, lead order or sponsored placement changes your TrustScore, reviews, organic ranking, awards or editorial content. These follow the rules in How the TrustScore Works and our Review Policy, and they apply to every company equally.
Review rules for companies
- Invite every customer the same way. Don't invite only happy customers.
- Don't offer anything of value for a review, or for changing or removing one.
- Don't write, buy or arrange reviews of your company or a competitor.
- Reply to reviews honestly and professionally.
If we find it, we may remove reviews, mark your profile, suspend your account without refund, and report it to the FTC or FMCSA.
11API & integrations
Pro and Enterprise accounts can use the Leads API, webhooks and CRM connections. Use of the API is also covered by our API Terms.
- Keep API keys secret and revoke any key you think is exposed.
- Data you sync to another tool stays under these terms. You're responsible for that tool's security.
- We may limit, suspend or revoke API access to protect the Platform or shippers.
12Your data
Your content
You own what you upload: your logo, photos, descriptions and replies. You give us a license to display and use it to run and promote the Platform, as described in the Terms of Use.
Shipper data
Lead details are personal information. Protect them with reasonable security, use them only as Section 8 allows, and delete them when a shipper asks or when you no longer need them.
When your account closes
You can export your leads and data before you close your account. We keep closed-account data for 3 years, then delete it, except where the law requires us to keep it. Our Privacy Policy explains how we handle personal information.
13What you can't do
On top of the rules in the Terms of Use, business accounts must not:
- Claim or manage a profile for a company you don't work for.
- Show false licenses, insurance, ratings, awards or locations.
- Contact shippers who have opted out, or contact them after they've booked elsewhere and asked you to stop.
- Scrape the Platform or copy other companies' profiles or reviews.
- Share Seats, resell leads or give API access to anyone outside your company.
14Suspension & ending your account
We may suspend or close your business account, or remove paid features, if:
- you break these Business Terms or the Terms of Use;
- your FMCSA authority, insurance or bond is no longer active;
- a payment fails and isn't fixed (Section 6); or
- we need to protect shippers, other companies or the Platform.
If we close your account for breaking these terms, fees already paid aren't refunded. If we close it for any other reason, we'll refund the unused part of any prepaid plan.
You can close your account at any time from Settings. Closing it doesn't remove your public company profile or its reviews.
15Disclaimers & liability
The Disclaimers and Limitation of liability sections of the Terms of Use apply to business accounts. In addition:
We don't promise any number of leads, views, bookings or revenue from any plan, lead order or sponsored placement.
For business accounts, our total liability is limited to the fees you paid us in the 12 months before the claim.
Nothing here limits liability that the law doesn't allow us to limit.
16Resolving disputes
The Resolving disputes section of the Terms of Use applies, including binding arbitration, the class-action waiver and Delaware governing law. Before filing anything, email legal@transportvibe.com and give us 30 days to fix it.
17Changes to these terms
We can update these Business Terms. For a real change, we will:
- Update this page with a new "Last updated" date.
- Email the account Owner at least 30 days before it takes effect.
- Show a notice in your Workspace.
If you don't agree, cancel before the change takes effect. An approved sponsored order stays under the terms in place when it was approved.
